What should your it specialist cover letter look like - formatting and organizing your information

Have you ever wondered what are the must-have sections you need to include in your it specialist cover letter? Our builder sets those up for you with:

  • Header - dedicated to your contact information, the role you're applying for, and the date (don't forget to include your name);
  • Greeting and opening paragraph - to create a personalized and memorable experience for recruiters;
  • Body paragraph - emphasizing your skill set and knowledge that aligns with the role and helps you to stand out;
  • Closing paragraph - leaving a great impression and ending with an optional signature.

Use a cover letter template to discover the best formatting for your it specialist cover letter: that is single-spaced paragraphs and wrapping your content in a one-inch margin.

Ensure that both your resume and it specialist cover letter are in the same font . Stand apart from the crowd by using modern, yet simple fonts, like Chivo and Rubik, instead of the overused Arial and Times New Roman.

Did you know that the Applicant Tracker System (or ATS) won't be assessing your it specialist cover letter? Instead, submit your profile in PDF to recruiters to keep the same formatting and the design intact.

The top sections on a it specialist cover letter

Header: This section includes your contact information, the date, and the employer's contact details, establishing a professional layout and making it easy for the recruiter to know who is reaching out and how to respond.

Greeting: Address the letter to a specific person if possible; this shows you’ve done your homework and are serious about the IT specialist position, displaying a personal touch and attention to detail.

Introduction: Quickly engage the reader by mentioning your enthusiasm for the role of IT Specialist and your relevant experience in the field, setting the stage for discussing how you can be an asset to their team.

Technical Skills and Experiences: Outline your key IT skills, certifications, and experience, providing specific examples that highlight how your technical expertise aligns with the job requirements, demonstrating your capability and readiness for the role.

Closing: Politely express your eagerness for an interview, include a call to action, and thank the recruiter for considering your application, which shows your proactive approach and professionalism as an IT specialist.

Key qualities recruiters search for in a candidate’s cover letter

  • Technical proficiency in various IT systems and software: Recruiters look for concrete technical skills, such as experience with network administration, cybersecurity measures, or specialized software relevant to the employer's technology stack.
  • Problem-solving skills: An IT specialist must be adept at quickly diagnosing and resolving complex technical issues, which often require innovative and analytical thinking.
  • Continuous learning and adaptability: Since the IT field is constantly evolving, recruiters value candidates who demonstrate a commitment to keeping their skills current and adapting to new technologies and methods.
  • Strong communication skills: IT specialists often need to explain technical concepts to non-technical stakeholders clearly and concisely, making effective communication a crucial trait.
  • Experience in project management: Recruiters prioritize candidates who have proven ability to manage IT projects, indicating the capacity to plan, execute, and lead initiatives that align with business objectives.
  • Customer service orientation: As IT support often involves direct interaction with users, having a customer-focused approach is important for ensuring user satisfaction and effectively addressing their needs.

The it specialist cover letter salutation: how to address hiring managers

After covering the format of your it specialist cover letter, let's look at the salutation.

Back in the day, the cordial "To whom it may concern" or "Dear Sir/Madam", might have worked out fine.

But, nowadays, your cover letter should approach hiring managers on a more personal basis.

So, what to do about your cover letter salutation ?

If you've messaged the recruiters and are on a first name basis or a more formal one, use the hiring manager's name in the greeting (e.g. "Dear Sophie," "Dear Ms. Givens", or "Dear Mr. Everett,").

Always aim to make the effort to find out the name of the hiring manager, who'd be assessing your application. Search on LinkedIn, double-check the advert on the corporate website, or message the brand on social media to find out more about the role.

If you can't find the hiring manager's name (and still want to sound professional), use "Dear HR Team,", "Dear Hiring Manager,", or the likes.

List of salutations you can use

  • Dear Hiring Manager,
  • Dear [Company Name] Team,
  • Dear [Department Name] Department,
  • Dear Mr./Ms. [Last Name],
  • Dear [First Name] [Last Name],
  • Dear [Job Title]

Your it specialist cover letter intro: showing your interest in the role

On to the actual content of your it specialist cover letter and the introductory paragraph .

The intro should be no more than two sentences long and presents you in the best light possible.

Use your it specialist cover letter introduction to prove exactly what interests you in the role or organization. Is it the:

  • Company culture;
  • Growth opportunities;
  • Projects and awards the team worked on/won in the past year;
  • Specific technologies the department uses.

When writing your it specialist cover letter intro, be precise and sound enthusiastic about the role.

Your introduction should hint to recruiters that you're excited about the opportunity and that you possess an array of soft skills, e.g. motivation, determination, work ethic, etc.

Structuring your it specialist cover letter body to add more value

You've hinted at your value as a professional (this may be your passion for the job or interest in the company) in your introduction.

Next, it's time to pan out the body or middle of your it specialist cover letter .

When creating your resume, you've probably gone over the advert a million times to select the most relevant skills.

Well, it's time to repeat this activity. Or just copy and paste your previous list of job-crucial requirements.

Then, select one of your past accomplishments, which is relevant and would impress hiring managers.

Write between three and six paragraphs to focus on the value your professional achievement would bring to your potential, new organization.

Tell a story around your success that ultimately shows off your real value as a professional.

Time to wrap up your it specialist cover letter

Writing the closing paragraph of your it specialist cover letter is just as important as the salutation.

You have to make it personalized to the job advert and recruiter.

Experienced professionals advise candidates to end with a request or reminder for follow-up. Write that you're grateful for the opportunity, and, at the same time, hint that you're available for the next steps of the process.

Otherwise, you could also conclude your it specialist cover letter by facing the future. How do you see yourself, as part of the team? In particular, how would you settle in your new role in the first six months to a year?

What could you write about in your it specialist cover letter when you have no experience

Candidates with zero professional experience often struggle to write their it specialist cover letter .

You may lack experience, but your application could still be impressive when you focus on your strengths.

Consider your most relevant talents (and/or one achievement) that align with the role and help you stand out.

Perhaps you spent every summer volunteering at your local dog pound - think of the job-relevant skills this experience taught you.

Sharing your tangible career goals is another good strategy to stand out.

Key takeaways

Turning your it specialist cover letter into a success is all about staying authentic to yourself and relevant to the job:

  • Be creative with your it specialist cover letter introduction by stating something you enjoy about the company (that is genuine) or about your skill set (to get the recruiters' interested);
  • Use single spacing and have a one-inch margin wrapping all around the content of your it specialist cover letter;
  • Select just one past achievement from your career or life to tell a story of how you've obtained job-crucial skills and how they'd be beneficial to the role;
  • The finishing paragraph of your it specialist cover letter doesn't necessarily have to be a signature but could be a promise of what you plan to achieve in the role;
  • Instead of focusing on your lack of experience, spotlight your transferable skills, one relevant achievement, and career dreams.

To write a great IT cover letter that stands out from the competition, the first step is to begin analyzing the job description. Identify key skill sets and qualifications the company is looking for in a candidate and tactically integrate these terms into your document. Focus on highlighting technical projects that demonstrate your ability to generate results for potential employers. Below, we’ll walk you through each section of your information technology cover letter:

1. Contact information and salutation

List your name, phone number, email, and LinkedIn URL in the header of your IT cover letter. Be sure to address the hiring manager by name — Mr. or Ms. [Last Name]. If you can’t find the hiring manager’s name, use a variation of “Dear Hiring Manager.” This shows you’ve taken the time to research the company before applying and conveys your genuine interest in the role.

2. Introduction

Lead with a strong opening paragraph at the top of your IT cover letter to introduce yourself and convey your interest in the job. Mention your years of experience within the technology industry and highlight one or two notable achievements to grab the hiring manager’s attention. Emphasize relevant skill sets, programming languages, and technologies that match the position you’re applying for.

For example, notice how this candidate highlights their experience in UX design. They demonstrate a comprehensive understanding of user-centered design principles for application development, which helps to illustrate their unique subject matter expertise. As you begin crafting your information technology cover letter, focus on building an introduction that contains nuanced insights to hook the reader.

I’m interested in applying for the UX designer position with Cadence Inc. that I found on your company website. As you can see from my attached resume, I have a proven track record of enhancing UX for innovative software applications. My holistic understanding of user-centered design principles would be an asset to your team.

3. Body paragraphs

In the body paragraphs of your IT cover letter, continue to feature your strongest achievements and technical expertise. Start by mentioning something specific about the company’s reputation, culture, or mission statement and why this draws you to apply for the position. Use this as an opportunity to describe your technology projects and accomplishments in more detail.

In the example below, the candidate makes a concerted effort to illustrate how their background aligns with the organization’s culture. They also establish a sense of scope for their technology experience by citing the number of app downloads. By painting a clear and compelling image of your career, you’ll greatly enhance the impact of your information technology cover letter.

Cadence Inc.’s reputation for DEI strongly aligns with my professional values. During my time with Black Cat Apps, I oversaw all aspects of UX design for accessible technologies to promote empathy and understanding. I can achieve similar results for your organization based on my career achievements:

4. Information technology skills and qualifications

While it’s important to highlight technical skills on your information technology cover letter, it’s generally best to avoid featuring a comprehensive list. Instead, carefully integrate key terms from the job description into your paragraphs. This demonstrates how you’ve utilized programming languages and technologies in professional settings. Below, you’ll find a list of keywords to consider adding to your IT cover letter:

Key Skills and Qualifications
Agile methodology AWS
Cisco Cloud technology
Cross-functional collaboration Cybersecurity
End-user training Hardware deployment
JavaScript Network administration
Python Root cause analysis
Scrum Software design
Software development lifecycle (SDLC) System implementation
System migration Technical project management
Technical support User interface (UX) design
Vendor management VMware

5. Closing section

Close out your information technology cover letter with a call to action (CTA) inviting the hiring manager to schedule an interview. Reinforce how your unique background as a technology professional can create value for the company you’re targeting. Be sure to thank the reader for their time and consideration, as showing respect also demonstrates your professionalism.

Information Technology Cover Letter Tips

1. align your cover letter with the job description.

To stand out in today’s competitive job market, you need to carefully tailor your cover letter towards each job you apply for. Identify programming languages and technologies that match the company’s needs. For example, if a company is seeking a candidate with an extensive background in cybersecurity, you might emphasize your knowledge of data governance and risk management.

2. Quantify your technical achievements

Incorporating hard numbers, data, and metrics is a great way to make a lasting impression on the hiring manager. This strategy shows potential employers you can generate results and create value for their organization. For instance, if you played an integral role in the development of a successful app, you might mention the number of downloads. If you led a complex cloud migration, include the number of users or devices impacted.

3. Highlight your leadership capabilities

In addition to your technical acumen, hiring managers want to see you can collaborate effectively in dynamic team environments. Feature examples of you interfacing with cross-functional teams and non-technical users. Demonstrate your ability to coach, develop, and mentor junior developers. This sends a clear message that you’re the right fit for the company’s culture.

How to create a good cover letter for an it specialist: free tips and tricks

Our perfect tips and professional IT specialist cover letter example found below will help guide your writing. Or you could just use our easy and effective online builder to get an expert letter in just minutes. We describe the most important soft skills and expert qualifications for this vacancy to save you time. Make your cover letter a short and simple message that includes the most critical information to impress the recruiter.

Start your letter with a powerful introduction. In addition to informing your reader what position you’re applying for, your first one or two sentences should identify the qualities and experience that make you a strong candidate for the position and prove your interest in this role.

Don’t forget to mention your in-depth understanding of services, apps, and industry specifics. An IT specialist is a key link in an IT company. You will have to develop and install software technologies and security solutions.

In this position, you will encounter challenging tasks in developing a business strategy. A person with strong analytical and prognostic skills is a must. You have to be capable of exteriorizing a business vision into step-by-step instruction and guide its implementation. Mention your prime focus on tasks and your desire to perform duties daily.

Don’t use your letter to tell your life story. Keep everything short, clean, and to the point. If the employer has an interest in your life story, which they likely will, those questions will come during the interview process.

Besides showing your educational background and technical skills, we recommend that you demonstrate such abilities as conceptual thinking, communication skills, courtesy, and responsibility. Employers often value intrapersonal skills just as much as technical skills.

Don’t make your letter too long. Keep it to one page. Your letter should focus on the most relevant skills for the job vacancy and your most noteworthy qualifications and experience. Adding information that the employer won’t find important will just bore the reader and drown out the information that really matters.

Document writing tips

application letter it specialist

  • Avoid too many technical words and industry-specific jargon in documents. While a couple of such terms may demonstrate your involvement in the profession, don’t forget about the primary purpose of these documents - a clear explanation of your experience, skills, and expectations towards future positions. A text that is too techie becomes hard to perceive and read, while the ‘fellow’ narrative style is not welcome in documents.
  • When composing the documents, always be as brief as possible without losing important information. It is the golden rule of document etiquette. It will demonstrate to the reader that you respect their time while making the documents maximally informative.
  • Keep the most exciting information ‘above the fold.’ People often read the first third of the printed sheet or everything before they need to scroll down. That is why it makes sense to put all critical information closer to the beginning.

Start your Content Specialist cover letter by addressing the hiring manager directly, if possible. Then, introduce yourself and state the position you're applying for. Immediately highlight your relevant experience and skills that make you a strong candidate for the role. For instance, you could say, "As a seasoned Content Specialist with over five years of experience in creating and managing high-quality content for diverse industries, I am excited to apply for the Content Specialist position at your company." This not only shows your enthusiasm for the role but also gives a snapshot of your qualifications. Remember, the opening of your cover letter sets the tone for the rest of the letter, so make it engaging and tailored to the job description.

The best way for Content Specialists to end a cover letter is by summarizing their qualifications, expressing enthusiasm for the opportunity, and inviting further discussion. It's important to reiterate how their skills and experiences align with the job requirements. For example, "I am excited about the opportunity to bring my unique blend of content creation and SEO expertise to your team. I look forward to the possibility of discussing my candidacy further." This shows confidence, interest, and proactive communication. Lastly, always thank the hiring manager for their time and consideration. This leaves a positive and respectful impression.

Content Specialists should include the following elements in their cover letter: 1. Introduction: Start with a brief introduction about yourself and your current role. Mention the position you are applying for and where you found the job posting. 2. Relevant Experience: Highlight your experience in content creation, strategy, and management. Be specific about the types of content you've worked with (blogs, social media posts, website copy, etc.) and the industries you've served. If you have experience in SEO, analytics, or other relevant areas, be sure to mention that as well. 3. Accomplishments: Discuss your achievements in your previous roles. For instance, you might mention a content campaign that increased web traffic or a piece of content that went viral. Use quantifiable metrics to demonstrate your success wherever possible. 4. Skills: Highlight your key skills that are relevant to the job description. This could include writing, editing, research, project management, SEO, CMS experience, social media management, etc. 5. Understanding of the Company: Show that you've done your research and understand what the company does and who their audience is. Discuss how your skills and experience can help them reach their goals. 6. Enthusiasm for the Role: Express your interest in the role and the company. Explain why you're excited about the opportunity and how it aligns with your career goals. 7. Call to Action: Conclude by thanking the hiring manager for their time and expressing your interest in discussing the role further. Remember, your cover letter should complement your resume, not repeat it. Use it as an opportunity to show your personality and passion for content creation. Tailor it to each job you apply for, demonstrating how your skills and experience make you the ideal candidate for that specific role.
