How can you make a good presentation even more effective?

This page draws on published advice from expert presenters around the world, which will help to take your presentations from merely ‘good’ to ‘great’.

By bringing together advice from a wide range of people, the aim is to cover a whole range of areas.

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

If you can bring yourself to relax, you will almost certainly present better. If you can actually start to enjoy yourself, your audience will respond to that, and engage better. Your presentations will improve exponentially, and so will your confidence. It’s well worth a try.

How to Prepare a Good Presentation Step by Step in 2024 (+ Expert Quotes)

Now, let's look at  some of the key steps in preparing a presentation, covering everything from topic selection to delivery, so you understand how to develop a presentation :

1. Choose the Right Topic

Choose the right topic

One of the most important presentation preparation tips is to pick the right topic for your presentation . You've got a few choices that'll give you a head start on wowing your audience. For example, you can:

  • Choose a topic you're passionate about. This will make it easy to give an animated and appealing presentation.
  • Pick your topic based on your knowledge and skills, so that you can wow your audience with the information you include.
  • Do a data-driven presentation based on the latest statistics on a topic of interest, plus your expert opinion or conclusions.
  • Select a presentation topic that relates to your business goals, such as reporting on key performance indicators (KPIs) or revenue .

Stephanie Schwab , Marketing Expert, Coach and Consultant, advises:

Jared Karol , Speaker, Coach and Group Facilitator, says it's extremely important to think of your audience when preparing your presentation:

"If you can trust that your content and presentation flow is solid, you can give more attention to how your audience is thinking and feeling during and after the presentation. Involve the audience as much as possible. Invite them to be part of the presentation––whether rhetorically by using "we" and/or "you" language––and literally by utilizing chat and poll features, or, depending on the size of the group, allowing verbal interaction. Remember that you are creating an experience, not just delivering content."

3. Brainstorm

The next tip in our series of presentation steps is to brainstorm. This can be something you do on your own or with others. Either way,  note down initial ideas and inspiration for your presentation. Use tools like mind mapping to connect related concepts. 

By the end of this process, you'll have a clearer idea of the intended focus of your presentation and can move onto the next stage of your presentation plan.

4. Do Your Research

If you're thinking about how to prepare a great presentation, one of the key elements that separates good business presentations from the rest is research.

Tara Furiani , CEO & Host, Not the HR Lady, says:

"On our show, Not the HR Lady, we are huge proponents of ‘facts’ and call on our audience to fact check us. Presentations must be rooted in more than the theories of the presenter, to be credible. This can take on a lot of different looks. For me, I use and reference a lot of movies, music and pop culture to humorously drive serious points home (like racism, misogyny, bigotry, etc…) and that means finding just the right clip that illustrates your point. Not all ‘research’ has to be academic in nature, but all presentations should call upon someone other than one’s own opinions, for maximum impact and action."

Once you know your topic, you can search for supporting information such as:

  • recent news or features
  • the latest statistics (taken from reliable sources like .gov and .edu industry reports, and Google Dataset Search )
  • relevant quotations

Once you've got that information, you're ready for the next step in presentation preparation.

5. Plan Your Presentation

Now it's time to put your presentation plan together. This is where you bring together ideas from your brainstorm and information from your research and organize them into a rough outline. 

A good way to do this is with headings for different parts of your presentation and bullet points with facts, quotes, and stats. By the end of this process, you'll have a pretty good idea of the content of your slides. That's a crucial part of presentation preparation.

6. Draft/Write Your Presentation

Of course, creating a presentation isn't just about the slides. Use the outline you've created to draft the spoken part of your presentation. It's good to start with an overview of what your presentation will cover. Get it right, and this will whet your audience's appetite and make them pay attention.

Plan your introduction to draw your audience in . Using a story, or an unusual fact or stat can help with this.  Christina Strickland , Vice President of Crackerjack Marketing, says:

"Presentation introductions are a chance to capture your audience’s attention right away. This is a good time to set the tone for the presentation and the meeting in general. Before you head in, know in your own mind the objectives for yourself and for your audience. When you introduce the presentation, begin by laying out the objectives for the audience and then a quick overview of the format and flow. This will help participants know what to expect and the right time to ask questions."

Plan your conclusion, too. It's helpful to know where you're headed so you can steer your presentation the right way.

Use storytelling throughout to keep your audience's attention. Don't be concerned if the final spoken presentation is a little different from your prepared outline. The outline is a guide, but you'll know what you need to include or exclude as you start to polish the actual presentation.

That's part of the reason you don't always need to create your slides at the outline stage of presentation planning. Instead, update that initial outline based on what your ACTUAL presentation will be. Then it's time for slide preparation (PPT templates, as you'll see, will be a big asset for the next stage).

7. Design Your Presentation Slides

  • Don't overdo the font choice . A single heading font and a single body font will be fine for most presentations. 
  • Choose your fonts carefully . Some fonts look attractive on your computer but are hard to read.

8. Expect Questions

Once your main presentation is ready, there's one more way to make your presentation great. That's to prepare for questions. As part of your presentation planning, you should:

  • Think about what people might ask about your presentation content and be ready with answers.
  • Consider how to deliver your presentation to lead people to ask certain questions that you're prepared for.
  • Prepare an answer for when you've got no answer so that you're not left floundering.

Christina Strickland says:

"Unexpected questions are bound to happen. Don’t feel like you are required to answer every question that comes up. It’s always good to have a few different responses prepared for different types of questions. Remember, it’s ok to say “That’s a really good question but it’s not really in my area of expertise.”"

9. Practice the Presentation

When you're happy with your slides and have prepared for questions, it's time for some presentation practice. This is where you do a complete run-through of your presentation, with both your presentation script and the slides. 

As you practice, pay attention to anything that doesn't flow, or is hard to say . Edit both your script and your presentation slides to remove these items. You don't want to be stumbling over your words on the day.

Some people prefer to practice alone but consider using a few friends or trusted colleagues as a test audience. It's a good way to make sure your material is clear and easy to understand.

Keep practicing till you feel you know your material inside out. This will help you deliver a polished presentation when it's time. If you're presenting online, Jared Karol suggests:

"The biggest thing to focus on when delivering presentations virtually is the idea of presence over performance. Try to recreate as closely as possible the vibe and feel you would create if you were all in the room together. Yes, prepare and rehearse. Yes, make sure the technology is good to go. And, remember that how you deliver the information is just as important as what information you're delivering. Wherever possible, try to personalize and humanize your presentation. Try to make your audience feel something not just remember something."

10. Prepare the Room

When thinking about how to practice for a presentation, there's one element some people overlook: the presentation space .  If it's possible, check it out well before it's time for you to present. 

One thing to pay attention to is the presentation equipment. Whether you're using a laptop and screen, a projector and screen, or some other piece of technology, get familiar with the presentation technology so you can ensure it'll work as expected.

And if you're able to book rehearsal time, take advantage of it. If you do, there won't be any surprises on the day.

Here are a few additional tips for giving an online presentation. 

11. Adjust Slide Design For Virtual Displays

If you're doing a virtual presentation, one of the most important tips for presentation preparation is to adjust the design of your slides. People will tune in from different size screens. So, make sure you don't have any text too near the top, bottom or sides of the slide, or some people won't be able to see it. Stephanie Schwab says:

 "I like to give instructions to the audience on how to get the best view of the presentation; I use Zoom most of the time, so I'll do a quick explanation of how to switch from gallery view to speaker view, and how to slide the screensharing portion bigger or smaller. That way I can have a little bit more confidence that the audience will take in the presentation in the way I want them to see it, and not get distracted by gallery view."

12. Look After Background and Lighting

We've all been on Zoom calls where the speaker is backlit, or where there's something distracting in the background. Avoid both of these so your audience can focus on your presentation. Experiment with the room you're presenting in to find the best lighting or get a ring light or two to ensure your face is always visible. And consider using a virtual background to keep distractions to a minimum. 

Tara Furiani says:

"The differences between presentations online and those that are in-person, are largely dependent on the skill of the facilitator. For example, one who’s engaging, tech savvy and can command a room… should find the presentations in-person or online, pretty much the same. When I present in a live setting, I use far less imagery than I would for an online session, because the focus would be on me. Virtually, I tend to add a touch more visual content, since my face alone should only be looked at for so long. By anyone."

13. Use Interactive Features

When preparing your presentation plan for an online presentation, try interactive features in your delivery platform to keep the audience engaged. Since you won't be able to use - or see body language - here are some tactics to try:

  • Include polls.
  • Ask questions people can respond to in the chat section.
  • Encourage the use of emoji reactions to get the audience involved.

These features are a big advantage of presenting online, says Tara Furiani:

"One shift, I think, that we will miss about online presentations (when in-person becomes the ‘norm’ again) is the ability to know, in the moment, if you are affecting change with people and resonating. Reactions, re-quotes, comments, and questions are delivered to us, while we are presenting, instantaneously… training survey be damned, this is real-time feedback.  We’re going to miss that; I just know it. In real life, save for applause, there aren’t ‘reactions’ to click that appear over the speakers’ head… maybe there should be?"

Presentation Preparation: Online vs In-Person

More conferences and events are being held online, and that's likely to continue. That means going one step further to understand how to develop a presentation to give a virtual audience a great experience. Stephanie Schwab comments:

"A lot of people think that giving an online presentation means you have to show slides the whole time - and I think just the opposite. I might have some slides to backup some of my points, but I'm usually pretty fluid between sharing my screen with a slide and then turning off sharing, so that the online audience can focus on me."

Do you wonder "what is a good presentation for online audiences?" Here are some differences in presentation preparation between online and in-person presentations.

  • You can't read the room . When presenting in-person, you can tell if people are engaged because they may lean forward, make eye contact or respond in some way. On a video call, you may not be able to see them properly, and they'll likely be muted to avoid background noise. To make up for this, pause regularly and ask for comments or feedback. 
  • You can't rely on body language . An in-person presenter can use physicality for emphasis. That's not possible in the boundaries of a small screen.
  • Visual cues are essential . In-person you can gesture or point at a key part of your slides. That's harder on a small screen. So, design your slides with visual cues like arrows and circles to direct your audience to what's most important on any slide. 
  • Working technology is more important  for virtual presentations. It's essential to ensure your mic and camera are working properly so you look professional. In contrast, you always have the option of going tech-free in an in-person presentation.
  • You handle questions differently . In-person, it's pretty easy to see when someone has a question, especially in a small room. Online, that's much harder, so have someone on hand to keep track of who's raised a hand or typed a question into the chat box.
  • Camera position is crucial. In-person, you may not have a camera. Even if you do, you can walk around the room to make eye contact with different people. That's not possible online, so make sure you're looking directly into the camera. That will allow you to make virtual eye contact with every participant.

Doing a presentation in class can be intimidating, but it does not have to be. This wikiHow will give you lots of pointers on how to do a presentation in class with minimal stress .

How to Give a Good Class Presentation

  • Practice running your presentation before you give it in class.
  • Write down the points you want to remember on note cards.
  • Picture yourself doing well to get a boost of confidence before you present.
  • Make eye contact with other people in class while you're presenting.
  • Speak with a clear voice and vary your inflection to keep it interesting.

Planning the Presentation

Step 1 Write note cards...

  • Write down keywords or main ideas. If you need to consult your index cards, you're only going to want to scan the index card for information, not read every last word.
  • Most of the time, the act of putting information down on your index cards will help you remember the information. So, while you might not strictly need the note cards, it's a nice security blanket to have if you happen to forget what you were going to say.
  • You don't want to be reading straight off your notecards during your presentation.

Step 2 Practice.

  • Practice in front of your family or friends, or in front of the mirror, when you rehearse your presentation. It's probably better to do it in front of friends who you may not know well, as this will help you replicate the feeling of being in front of the class.
  • Ask your friends for feedback after you finish your presentation. Was the presentation long enough? How was your eye contact? Did you stammer at all? Were all the points clearly made?
  • Make a critique of your practice performance. Challenge yourself to work on all the things that you believe you can improve during the real presentation. When it comes time to deliver the real deal, you'll feel confident knowing that you've worked extra hard on what was toughest for you.

Step 3 Do your research....

  • Get quotes from reliable sources. Good quotes make a good presentation great. Taking what smart people have said and putting it into your presentation not only makes you look smart, it shows the teacher that you spent time thinking about what other people said.
  • Make sure your sources are trustworthy . There's nothing that can quite break your confidence like a fact that turns out to not be a fact. Don't always trust the information you get off the Internet.

Delivering the Presentation

Step 1 Smile...

  • Studies have shown that smiles are infectious; that means that once you smile, it's hard for everyone else not to smile. So if you want your presentation to go off without a hitch, force yourself to smile. That'll make everyone smile; and maybe those smiles will make you actually smile.

Step 2 Feel confident...

  • Think about your intention before you talk to your audience. Do you want to educate, enlighten, or entertain this audience? What is the effect that you want to have on the listener?
  • Visualize success before, during, and after your presentation. Be humble about what you do — no need for cockiness — but imagine a successful presentation at all times. Don't let the thought of failure creep into your mind.
  • In many ways, your confidence is just as important as the information you're delivering. You don't want to spread misinformation, or skimp on doing your research, but a lot of what you'll be graded on — and what the other students come away with — is going to be your level of confidence. Also if you are confident, you will have a better time exchanging ideas with the class.
  • If you need a confidence boost, think big picture. After 10 or 15 minutes, your presentation will be over. What will your presentation matter in the long run? Probably not very much. Try to do the best you can, but if you're getting nervous, remind yourself that there are much more important moments in your life to come.

Step 3 Make eye contact.

  • Have the goal of looking at every person in the classroom at least once. That way, everyone will feel like you've engaged with them. Plus, you'll look like you know what you're talking about.

Step 4 Be sure to have inflection in your voice.

  • Inflection is the kind of movement that radio DJs put into their voice; it's the ramped-up pitch in your voice when it gets excited. You don't want to sound like you've just seen a lion, but you also don't want to sound like you've just seen a squirrel, either. Vary it up to make the presentation more interesting.

Step 5 Use hand motions.

  • Tell a story, maybe one with a personal note. Stories are great for history or English presentations. Maybe you can tie your presentation into a little anecdote about a famous historical person?
  • Ask a provocative question. Ending with a question is a good way of getting your audience to think about your presentation in an interesting way. Is there a certain conclusion you want them to come to?

Step 7 Walk back to your seat with a smile.

  • Don't be afraid to interact with the audience. Ask and answer questions about your presentation. If you're giving a demonstration speech, you could even take volunteers to help out during your presentation.

When you need to put together information for a presentation for students or other teachers, you can be surprisingly effective without having to do too much at all. Here are some tips for teachers making presentations for in the classroom.

1. Establish one clear idea.

Conventional wisdom of the past used to be about putting as much information and content into a presentation as possible. It was all about trying as hard as you could to come across as an authoritative figure who truly was a master of the subject. That barely works in higher ed, and certainly is pliable in K-12. Consider that you aren’t trying to teach someone everything you know in a short window, but rather making an impression for long-term retention. Focus on one idea with supporting information in a quick period of time.

2. Start with a compelling hook.

When you consider the average suggested presentation length is only around ten minutes, you don’t have any time to waste. Obviously the specifics of the presentation will vary depending upon the grade level, time of day, content being presented and so on. One thing that won’t vary is the need to grab students right off of the bat and have them paying attention from the first few seconds.

As Cision recommends , when the average attention spans have shrunk down to around eight seconds, you know that you need to jump right in with something captivating. Obviously your presentation needs to have a point and needs to be worthwhile as well, but if you can simply give them something that they actually want to see in the first place, you stand a much better shot of being successful in your presentation. It might not seem like a powerful point but it is true in any context.

You might even do it without noticing, but you still do it constantly. Do your ears ever perk up when someone talks about a certain subject? Or, do you hear someone start a conversation with words that bore you and immediately look for a way out? It’s the same thing when it comes to presenting. You only have a few seconds to get it right and hook your class.

3. Prioritize–only put in what’s important.

Another major item to remember is what you are putting into your presentation as far as content is concerned. If you already understand how important it is to captivate your classroom and capitalize on the short attention spans, it’s not a wise strategy to grind the presentation to a screeching halt just so that you can read boring statistics and bland figures. There does need to be some information, but you could read and reference figures without using presentation software in the first place.

By having presentation slides with tons of words, you are just wasting time and filling space that will turn off your viewers. As Mr. Media Training suggests , if you have too many words then you either don’t know your presentation well enough, or your presentation isn’t supported by any additional evidence. The good news is that the technology of companies such as LiveSlides allows you to insert video into PowerPoint so that you can truly bring any sort of evidence you want. Those sorts of slides make perfect sense because you can’t put video on a notecard. Plus, by stimulating your classr with an additional surprise and viewpoint, you aren’t risking students falling asleep because of a long, monotonous message.

4. Consider schema and background knowledge.

Familiar images, references, sounds, music, and other bits of information can act as anchors to ground student understanding, as well as disarming some of the intimidation or anxiety new content can represent for some students. Along with focusing on a single idea per presentation, this can go a long way towards making better presentations for students.

5. With slides, less is more.

Believe it or not, the most acceptable answer from professionals is that you don’t need a lot of slides in a presentation. As Six Minutes Speaking and Presentation Skills suggests , sometimes you don’t need any slides. However, if you are going to give a presentation to your class and you need to have supporting information then you can easily do that with a few slides. The short answer is you probably need fewer slides than you think.

If there’s too much information, students are instantly going to go from trying to listen to you into a mode where they simply skim the PowerPoint slide. Once they realize it is the same message, the PowerPoint slide is basically worthless. You obviously can put summarizing points, facts, and figures into your presentation. But with that being said, PowerPoint was created as a tool and you need to be comfortable with using it. By having the right type of information in it you can actually enhance the presentation and student retention.

A presentation itself isn’t that difficult of a thing to master. So many people are caught up with using PowerPoint that they forget what it is actually for. When you are going to give your next presentation to your class, you need to know your subject matter first and the essentials of PowerPoint and presentation design second. Once you’ve narrowed your content and honed your message, you can capitalize on it by adding in all of the bells, whistles, and other enhancements that will help students retain what they’ve learned.

Powerful and Effective Presentation Skills: More in Demand Now Than Ever

When we talk with our L&D colleagues from around the globe, we often hear that presentation skills training is one of the top opportunities they’re looking to provide their learners. And this holds true whether their learners are individual contributors, people managers, or senior leaders. This is not surprising.

Effective communications skills are a powerful career activator, and most of us are called upon to communicate in some type of formal presentation mode at some point along the way.

For instance, you might be asked to brief management on market research results, walk your team through a new process, lay out the new budget, or explain a new product to a client or prospect. Or you may want to build support for a new idea, bring a new employee into the fold, or even just present your achievements to your manager during your performance review.

And now, with so many employees working from home or in hybrid mode, and business travel in decline, there’s a growing need to find new ways to make effective presentations when the audience may be fully virtual or a combination of in person and remote attendees.

Whether you’re making a standup presentation to a large live audience, or a sit-down one-on-one, whether you’re delivering your presentation face to face or virtually, solid presentation skills matter.

Even the most seasoned and accomplished presenters may need to fine-tune or update their skills. Expectations have changed over the last decade or so. Yesterday’s PowerPoint which primarily relied on bulleted points, broken up by the occasional clip-art image, won’t cut it with today’s audience.

The digital revolution has revolutionized the way people want to receive information. People expect presentations that are more visually interesting. They expect to see data, metrics that support assertions. And now, with so many previously in-person meetings occurring virtually, there’s an entirely new level of technical preparedness required.

The leadership development tools and the individual learning opportunities you’re providing should include presentation skills training that covers both the evergreen fundamentals and the up-to-date capabilities that can make or break a presentation.

So, just what should be included in solid presentation skills training? Here’s what I think.

The fundamentals will always apply When it comes to making a powerful and effective presentation, the fundamentals will always apply. You need to understand your objective. Is it strictly to convey information, so that your audience’s knowledge is increased? Is it to persuade your audience to take some action? Is it to convince people to support your idea? Once you understand what your objective is, you need to define your central message. There may be a lot of things you want to share with your audience during your presentation, but find – and stick with – the core, the most important point you want them to walk away with. And make sure that your message is clear and compelling.

You also need to tailor your presentation to your audience. Who are they and what might they be expecting? Say you’re giving a product pitch to a client. A technical team may be interested in a lot of nitty-gritty product detail. The business side will no doubt be more interested in what returns they can expect on their investment.

Another consideration is the setting: is this a formal presentation to a large audience with questions reserved for the end, or a presentation in a smaller setting where there’s the possibility for conversation throughout? Is your presentation virtual or in-person? To be delivered individually or as a group? What time of the day will you be speaking? Will there be others speaking before you and might that impact how your message will be received?

Once these fundamentals are established, you’re in building mode. What are the specific points you want to share that will help you best meet your objective and get across your core message? Now figure out how to convey those points in the clearest, most straightforward, and succinct way. This doesn’t mean that your presentation has to be a series of clipped bullet points. No one wants to sit through a presentation in which the presenter reads through what’s on the slide. You can get your points across using stories, fact, diagrams, videos, props, and other types of media.

Visual design matters While you don’t want to clutter up your presentation with too many visual elements that don’t serve your objective and can be distracting, using a variety of visual formats to convey your core message will make your presentation more memorable than slides filled with text. A couple of tips: avoid images that are cliched and overdone. Be careful not to mix up too many different types of images. If you’re using photos, stick with photos. If you’re using drawn images, keep the style consistent. When data are presented, stay consistent with colors and fonts from one type of chart to the next. Keep things clear and simple, using data to support key points without overwhelming your audience with too much information. And don’t assume that your audience is composed of statisticians (unless, of course, it is).

When presenting qualitative data, brief videos provide a way to engage your audience and create emotional connection and impact. Word clouds are another way to get qualitative data across.

Practice makes perfect You’ve pulled together a perfect presentation. But it likely won’t be perfect unless it’s well delivered. So don’t forget to practice your presentation ahead of time. Pro tip: record yourself as you practice out loud. This will force you to think through what you’re going to say for each element of your presentation. And watching your recording will help you identify your mistakes—such as fidgeting, using too many fillers (such as “umm,” or “like”), or speaking too fast.

A key element of your preparation should involve anticipating any technical difficulties. If you’ve embedded videos, make sure they work. If you’re presenting virtually, make sure that the lighting is good, and that your speaker and camera are working. Whether presenting in person or virtually, get there early enough to work out any technical glitches before your presentation is scheduled to begin. Few things are a bigger audience turn-off than sitting there watching the presenter struggle with the delivery mechanisms!

Finally, be kind to yourself. Despite thorough preparation and practice, sometimes, things go wrong, and you need to recover in the moment, adapt, and carry on. It’s unlikely that you’ll have caused any lasting damage and the important thing is to learn from your experience, so your next presentation is stronger.

How to Rehearse for an Important Presentation

Great speeches are never an accident.

If you want to deliver a spellbinding presentation, rehearse far more than you’ve done in the past. But you don’t want to sound too rehearsed, so you’ll need to balance memorization with spontaneity. Nail down the first two and last two minutes of your speech, and leave room for improvisation in between. And practice under pressure. This mean rehearsing in front of one or two people to get your body used to being in front of a crowd. Then ask for feedback, and rehearse again.

Steve Jobs was the most astonishing business speaker of his time. Bill Gates once called him a “wizard” who “cast spells” on his audience. Fortune magazine proclaimed that his keynotes could set “ hardened hearts aflutter .” Jobs is one of the few CEOs whose presentations have a dedicated  Wikipedia page ; his keynotes alone could  spark a surge in Apple’s stock.

Ten simple rules for effective presentation slides

Introduction

The “presentation slide” is the building block of all academic presentations, whether they are journal clubs, thesis committee meetings, short conference talks, or hour-long seminars. A slide is a single page projected on a screen, usually built on the premise of a title, body, and figures or tables and includes both what is shown and what is spoken about that slide. Multiple slides are strung together to tell the larger story of the presentation. While there have been excellent 10 simple rules on giving entire presentations [ 1 , 2 ], there was an absence in the fine details of how to design a slide for optimal effect—such as the design elements that allow slides to convey meaningful information, to keep the audience engaged and informed, and to deliver the information intended and in the time frame allowed. As all research presentations seek to teach, effective slide design borrows from the same principles as effective teaching, including the consideration of cognitive processing your audience is relying on to organize, process, and retain information. This is written for anyone who needs to prepare slides from any length scale and for most purposes of conveying research to broad audiences. The rules are broken into 3 primary areas. Rules 1 to 5 are about optimizing the scope of each slide. Rules 6 to 8 are about principles around designing elements of the slide. Rules 9 to 10 are about preparing for your presentation, with the slides as the central focus of that preparation.

Rule 1: Include only one idea per slide

Each slide should have one central objective to deliver—the main idea or question [ 3 – 5 ]. Often, this means breaking complex ideas down into manageable pieces (see Fig 1 , where “background” information has been split into 2 key concepts). In another example, if you are presenting a complex computational approach in a large flow diagram, introduce it in smaller units, building it up until you finish with the entire diagram. The progressive buildup of complex information means that audiences are prepared to understand the whole picture, once you have dedicated time to each of the parts. You can accomplish the buildup of components in several ways—for example, using presentation software to cover/uncover information. Personally, I choose to create separate slides for each piece of information content I introduce—where the final slide has the entire diagram, and I use cropping or a cover on duplicated slides that come before to hide what I’m not yet ready to include. I use this method in order to ensure that each slide in my deck truly presents one specific idea (the new content) and the amount of the new information on that slide can be described in 1 minute (Rule 2), but it comes with the trade-off—a change to the format of one of the slides in the series often means changes to all slides.

Rule 2: Spend only 1 minute per slide

When you present your slide in the talk, it should take 1 minute or less to discuss. This rule is really helpful for planning purposes—a 20-minute presentation should have somewhere around 20 slides. Also, frequently giving your audience new information to feast on helps keep them engaged. During practice, if you find yourself spending more than a minute on a slide, there’s too much for that one slide—it’s time to break up the content into multiple slides or even remove information that is not wholly central to the story you are trying to tell. Reduce, reduce, reduce, until you get to a single message, clearly described, which takes less than 1 minute to present.

Rule 3: Make use of your heading

When each slide conveys only one message, use the heading of that slide to write exactly the message you are trying to deliver. Instead of titling the slide “Results,” try “CTNND1 is central to metastasis” or “False-positive rates are highly sample specific.” Use this landmark signpost to ensure that all the content on that slide is related exactly to the heading and only the heading. Think of the slide heading as the introductory or concluding sentence of a paragraph and the slide content the rest of the paragraph that supports the main point of the paragraph. An audience member should be able to follow along with you in the “paragraph” and come to the same conclusion sentence as your header at the end of the slide.

Rule 4: Include only essential points

While you are speaking, audience members’ eyes and minds will be wandering over your slide. If you have a comment, detail, or figure on a slide, have a plan to explicitly identify and talk about it. If you don’t think it’s important enough to spend time on, then don’t have it on your slide. This is especially important when faculty are present. I often tell students that thesis committee members are like cats: If you put a shiny bauble in front of them, they’ll go after it. Be sure to only put the shiny baubles on slides that you want them to focus on. Putting together a thesis meeting for only faculty is really an exercise in herding cats (if you have cats, you know this is no easy feat). Clear and concise slide design will go a long way in helping you corral those easily distracted faculty members.

Rule 5: Give credit, where credit is due

An exception to Rule 4 is to include proper citations or references to work on your slide. When adding citations, names of other researchers, or other types of credit, use a consistent style and method for adding this information to your slides. Your audience will then be able to easily partition this information from the other content. A common mistake people make is to think “I’ll add that reference later,” but I highly recommend you put the proper reference on the slide at the time you make it, before you forget where it came from. Finally, in certain kinds of presentations, credits can make it clear who did the work. For the faculty members heading labs, it is an effective way to connect your audience with the personnel in the lab who did the work, which is a great career booster for that person. For graduate students, it is an effective way to delineate your contribution to the work, especially in meetings where the goal is to establish your credentials for meeting the rigors of a PhD checkpoint.

Rule 6: Use graphics effectively

As a rule, you should almost never have slides that only contain text. Build your slides around good visualizations. It is a visual presentation after all, and as they say, a picture is worth a thousand words. However, on the flip side, don’t muddy the point of the slide by putting too many complex graphics on a single slide. A multipanel figure that you might include in a manuscript should often be broken into 1 panel per slide (see Rule 1 ). One way to ensure that you use the graphics effectively is to make a point to introduce the figure and its elements to the audience verbally, especially for data figures. For example, you might say the following: “This graph here shows the measured false-positive rate for an experiment and each point is a replicate of the experiment, the graph demonstrates …” If you have put too much on one slide to present in 1 minute (see Rule 2 ), then the complexity or number of the visualizations is too much for just one slide.

Rule 7: Design to avoid cognitive overload

The type of slide elements, the number of them, and how you present them all impact the ability for the audience to intake, organize, and remember the content. For example, a frequent mistake in slide design is to include full sentences, but reading and verbal processing use the same cognitive channels—therefore, an audience member can either read the slide, listen to you, or do some part of both (each poorly), as a result of cognitive overload [ 4 ]. The visual channel is separate, allowing images/videos to be processed with auditory information without cognitive overload [ 6 ] (Rule 6). As presentations are an exercise in listening, and not reading, do what you can to optimize the ability of the audience to listen. Use words sparingly as “guide posts” to you and the audience about major points of the slide. In fact, you can add short text fragments, redundant with the verbal component of the presentation, which has been shown to improve retention [ 7 ] (see Fig 1 for an example of redundant text that avoids cognitive overload). Be careful in the selection of a slide template to minimize accidentally adding elements that the audience must process, but are unimportant. David JP Phillips argues (and effectively demonstrates in his TEDx talk [ 5 ]) that the human brain can easily interpret 6 elements and more than that requires a 500% increase in human cognition load—so keep the total number of elements on the slide to 6 or less. Finally, in addition to the use of short text, white space, and the effective use of graphics/images, you can improve ease of cognitive processing further by considering color choices and font type and size. Here are a few suggestions for improving the experience for your audience, highlighting the importance of these elements for some specific groups:

  • Use high contrast colors and simple backgrounds with low to no color—for persons with dyslexia or visual impairment.
  • Use sans serif fonts and large font sizes (including figure legends), avoid italics, underlining (use bold font instead for emphasis), and all capital letters—for persons with dyslexia or visual impairment [ 8 ].
  • Use color combinations and palettes that can be understood by those with different forms of color blindness [ 9 ]. There are excellent tools available to identify colors to use and ways to simulate your presentation or figures as they might be seen by a person with color blindness (easily found by a web search).
  • In this increasing world of virtual presentation tools, consider practicing your talk with a closed captioning system capture your words. Use this to identify how to improve your speaking pace, volume, and annunciation to improve understanding by all members of your audience, but especially those with a hearing impairment.

Rule 8: Design the slide so that a distracted person gets the main takeaway

It is very difficult to stay focused on a presentation, especially if it is long or if it is part of a longer series of talks at a conference. Audience members may get distracted by an important email, or they may start dreaming of lunch. So, it’s important to look at your slide and ask “If they heard nothing I said, will they understand the key concept of this slide?” The other rules are set up to help with this, including clarity of the single point of the slide (Rule 1), titling it with a major conclusion (Rule 3), and the use of figures (Rule 6) and short text redundant to your verbal description (Rule 7). However, with each slide, step back and ask whether its main conclusion is conveyed, even if someone didn’t hear your accompanying dialog. Importantly, ask if the information on the slide is at the right level of abstraction. For example, do you have too many details about the experiment, which hides the conclusion of the experiment (i.e., breaking Rule 1)? If you are worried about not having enough details, keep a slide at the end of your slide deck (after your conclusions and acknowledgments) with the more detailed information that you can refer to during a question and answer period.

Rule 9: Iteratively improve slide design through practice

Well-designed slides that follow the first 8 rules are intended to help you deliver the message you intend and in the amount of time you intend to deliver it in. The best way to ensure that you nailed slide design for your presentation is to practice, typically a lot. The most important aspects of practicing a new presentation, with an eye toward slide design, are the following 2 key points: (1) practice to ensure that you hit, each time through, the most important points (for example, the text guide posts you left yourself and the title of the slide); and (2) practice to ensure that as you conclude the end of one slide, it leads directly to the next slide. Slide transitions, what you say as you end one slide and begin the next, are important to keeping the flow of the “story.” Practice is when I discover that the order of my presentation is poor or that I left myself too few guideposts to remember what was coming next. Additionally, during practice, the most frequent things I have to improve relate to Rule 2 (the slide takes too long to present, usually because I broke Rule 1, and I’m delivering too much information for one slide), Rule 4 (I have a nonessential detail on the slide), and Rule 5 (I forgot to give a key reference). The very best type of practice is in front of an audience (for example, your lab or peers), where, with fresh perspectives, they can help you identify places for improving slide content, design, and connections across the entirety of your talk.

Rule 10: Design to mitigate the impact of technical disasters

The real presentation almost never goes as we planned in our heads or during our practice. Maybe the speaker before you went over time and now you need to adjust. Maybe the computer the organizer is having you use won’t show your video. Maybe your internet is poor on the day you are giving a virtual presentation at a conference. Technical problems are routinely part of the practice of sharing your work through presentations. Hence, you can design your slides to limit the impact certain kinds of technical disasters create and also prepare alternate approaches. Here are just a few examples of the preparation you can do that will take you a long way toward avoiding a complete fiasco:

  • Save your presentation as a PDF—if the version of Keynote or PowerPoint on a host computer cause issues, you still have a functional copy that has a higher guarantee of compatibility.
  • In using videos, create a backup slide with screen shots of key results. For example, if I have a video of cell migration, I’ll be sure to have a copy of the start and end of the video, in case the video doesn’t play. Even if the video worked, you can pause on this backup slide and take the time to highlight the key results in words if someone could not see or understand the video.
  • Avoid animations, such as figures or text that flash/fly-in/etc. Surveys suggest that no one likes movement in presentations [ 3 , 4 ]. There is likely a cognitive underpinning to the almost universal distaste of pointless animations that relates to the idea proposed by Kosslyn and colleagues that animations are salient perceptual units that captures direct attention [ 4 ]. Although perceptual salience can be used to draw attention to and improve retention of specific points, if you use this approach for unnecessary/unimportant things (like animation of your bullet point text, fly-ins of figures, etc.), then you will distract your audience from the important content. Finally, animations cause additional processing burdens for people with visual impairments [ 10 ] and create opportunities for technical disasters if the software on the host system is not compatible with your planned animation.

Conclusions

These rules are just a start in creating more engaging presentations that increase audience retention of your material. However, there are wonderful resources on continuing on the journey of becoming an amazing public speaker, which includes understanding the psychology and neuroscience behind human perception and learning. For example, as highlighted in Rule 7, David JP Phillips has a wonderful TEDx talk on the subject [ 5 ], and “PowerPoint presentation flaws and failures: A psychological analysis,” by Kosslyn and colleagues is deeply detailed about a number of aspects of human cognition and presentation style [ 4 ]. There are many books on the topic, including the popular “Presentation Zen” by Garr Reynolds [ 11 ]. Finally, although briefly touched on here, the visualization of data is an entire topic of its own that is worth perfecting for both written and oral presentations of work, with fantastic resources like Edward Tufte’s “The Visual Display of Quantitative Information” [ 12 ] or the article “Visualization of Biomedical Data” by O’Donoghue and colleagues [ 13 ].

How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

  • Great storytelling: Examples from Alibaba Founder, Jack Ma

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

Steve Jobs is still the word’s greatest corporate storyteller. I’ve seen plenty of talented speakers in the past year and I’ve written about many of them in this column but I have yet to find someone as good as Steve Jobs. This is why I have spent so many years reviewing, analyzing and sharing Jobs’ presentation techniques because leaders and entrepreneurs today need to carry on his legacy if we hope to inspire the world with our ideas. His keynote presentations continue to attract thousands of views on YouTube and he has profoundly impacted the way leaders communicate.

Earlier this year a Wall Street Journal article titled Bio As Bible featured managers who are imitating Steve Jobs based on what they’ve learned in Walter Isaacson’s biography and also from one of my books, The Innovation Secrets of Steve Jobs . While I’m very proud that the WSJ highlighted my content, dressing like Jobs is not going to inspire your audience. However, there are many other presentation techniques that you can and should copy from Steve Jobs.

Steve Jobs was an astonishing presenter because he informed, inspired, and entertained. In this article I outline 11 techniques from one presentation, the iPhone launch in 2007 . If your presentation is tomorrow and you only have time to incorporate a few ideas, then spend 7 minutes to watch this video where I highlight just three techniques from the same presentation. Express your passion. Steve Jobs was passionate about design, he absolutely loved his new product, and he wore his enthusiasm on his black-mock sleeve. “It looks pretty doggone gorgeous,” he said with a big smile after showing the iPhone for the first time. Jobs often used words such as “cool,” “amazing,” or “gorgeous” because he believed it. Your audience is giving you permission to show enthusiasm. If you’re not excited about your idea, nobody else will be.

Create a Twitter-friendly headline. Jobs used a technique I’ve labeled the “Twitter-friendly headline,” a one-sentence summary of a product that perfectly captured the main message he wished to deliver. Shortly after showing the new phone, Jobs proudly proclaimed, “Today Apple is going to reinvent the phone.” The headline, “Apple reinvents the phone” was the only sentence on the slide. He repeated the headline several times during the presentation. A Google search for the phrase turns up about 25,000 links, most of which are directly from articles and blog posts covering the launch presentation.

Stick to the rule of three. Jobs instinctively understood that the number “3” is one of the most powerful numbers in communications. A list of 3 things is more intriguing than 2 and far easier to remember than 22. Jobs divided his iPhone presentation into three sections. He spoke about the iPod functions of the new iPhone, the phone itself, and connecting to the Internet. Jobs even had some fun with three. He stepped on stage and said, “Today we are introducing three revolutionary products. The first, a widescreen iPod with touch controls. The second, is a revolutionary mobile phone. And the third is a breakthrough Internet communications device.” As the audience applauded, Jobs repeated the three ‘products’ several times. Finally he said, “Are you getting it? These are not three separate devices, they are one device and we are calling it iPhone!”

Introduce a villain. All great stories have a hero and a villain. A Steve Jobs presentation was no exception. In 2007, why did the world need another mobile phone, especially from Apple? Jobs set up the narrative by introducing a villain—a problem in need of a solution: “Regular cell phones are not so smart and they are not so easy to use. Smartphones are a little smarter, but are harder to use. They are really complicated…we want to make a leapfrog product, way smarter than any mobile device has ever been and super easy to use. This is what iPhone is.”

Sell the benefit. After expanding on the villain (the problem), Jobs introduced the hero (the benefit). The benefit included the new user multi-touch user interface. According to Jobs, “It works like magic. You don’t need a stylus. It’s far more accurate than any touch display that’s ever been shipped. It ignores unintended touches. It’s super smart. You can do multi-finger gestures on it. And boy have we patented it.”

Build simple, visual slides. The average PowerPoint slide has forty words. In the first three minutes of Steve Jobs’ iPhone presentation, he uses a grand total of nineteen words (twenty-one if you include dates). Those words are also distributed across about twelve slides. Tell stories. Before Jobs revealed the new phone, he spent a moment to review the history of Apple, telling a story that built up to the big event. “In 1984, Apple introduced the first Macintosh. It didn’t just change Apple. It changed the whole computer industry. In 2001, we introduced the first iPod. It didn’t just change the way we all listen to music. It changed the entire music industry.” Stories can be brand stories, customer stories, or personal ones. In one very funny moment, Jobs’ clicker failed to advance the slides. After a few seconds of trying to fix it, he paused and told a short story of a how he and Steve Wozniak used to pull pranks on students at Wozniak’s college dorm. Woz had invented a device that jammed TV signals and they used it to tease students when they were watching Star Trek. It brought some levity to the keynote, the problem was fixed, and Jobs effortlessly moved along.

Prepare and practice excessively. The clicker snafu that I just described teaches another great lesson for all presenters. Jobs casually laughed off the glitch, told a story, and got back to his presentation when his team resolved the issue. He never missed a beat and certainly didn’t get flustered. Jobs was legendary for his preparation. He would rehearse on stage for many hours over many weeks prior to the launch of a major product. He knew every detail of every demo and every font on every slide. As a result the presentation was delivered flawlessly. People often tell me, “I’m not as smooth as Jobs was.” Well, neither was he! Hours and hours of practice made Jobs look polished, casual, and effortless.

Avoid reading from notes. The introduction of the iPhone lasted about 80 minutes. Not once did Jobs read from a teleprompter or notecards. He had internalized the content so well that he didn’t need notes. During the demos, however, he did have a very short list of bullet points hidden from the audience’s view. Those bullets served as reminders and they were the only notes he relied upon.

Have fun. When Jobs first told the audience that Apple was going to introduce a mobile phone he said, “Here it is.” Instead of showing the iPhone, the slide displayed a photo of an iPod with an old-fashioned rotary dial on it. The audience got a kick out of it, laughing and clapping. They had been played and Jobs was enjoying their reaction. There were many funny moments, including a crank call. Jobs was demonstrating the maps feature to show how easy it was to find a location and call the number. He found a Starbucks nearby and called it. A woman picked up the phone and said, “Good morning, Starbucks. How can I help you?” Jobs said, “I’d like to order 4,000 lattes to go, please. No, just kidding. Wrong number. Bye bye.” The audience loved it. I’ve never seen Jobs enjoy himself more in a keynote.

Inspire your audience. Jobs liked to end his keynotes with something uplifting and inspiring. At the end of the iPhone presentation he said, “I didn’t sleep a wink last night. I’ve been so excited about today…There’s an old Wayne Gretzky quote that I love. ‘I skate to where the puck is going to be, not where it has been.’ We’ve always tried to do that at Apple since the very, very beginning. And we always will.”

Steve Jobs educated, entertained, informed, and inspired his audiences in every presentation. So can you. It takes work, planning, and creativity, but if someone is willing to listen to your ideas it’s worth the effort to make it great.

An effective teacher is an excellent communicator and therefore thinks about improving his or her presentation skills. One of the most important aspects of communicating is shaping both content and style to fit your audience. In the classroom, if you cannot communicate in a way that is both comprehensible and interesting to your students, their learning will be greatly reduced.

To strengthen your presentation skills, focus on improving your skills in these three areas:

Verbal and Non-Verbal Communication

  • Find out all you can about the room in which you will be presenting. Visit the room ahead of time to familiarize yourself with its size and layout, as well as the type of chalkboards, chalk, erasers, and multimedia available. In addition, obtain any necessary training on the multimedia.
  • Use the classroom as a stage. Move around to engage and interact with your audience. Do not stand in one spot the entire time. Move with purpose; do not walk aimlessly.
  • Prepare. Preparation is essential. All excellent teachers are well prepared for each class. Practice in the room if you can, especially if you are new to teaching. In addition, prepare yourself emotionally and psychologically by taking the time to organize your thoughts and to look forward to teaching before every class.
  • Speak loudly and clearly. Project your voice and face your audience when you are speaking. Speak slightly louder than you do in a normal conversation. Use a microphone in a medium to large classroom. The class may include students with hearing problems. Moreover, a microphone will help ensure that students can hear you even when you turn to the chalkboard momentarily.
  • Modulate the tone, pitch, and speed of your speech. Do not speak in a monotone. Vary the pitch and speed of your voice for emphasis and effect. Use appropriate pauses. Rather than using filler words such as “uh,” for example, simply pause before moving on to the next idea or point.
  • Use gestures and facial expressions to help you explain, emphasize, and communicate the material. However, be careful not to develop distracting habits such as pacing or repeatedly adjusting your glasses or hair. To find out if you are unconsciously doing anything that may be distracting to your audience, have a colleague observe one of your classes or have your class videotaped.   • Develop a teaching persona. Decide how you want to be perceived and what mannerisms you want to have. For example, do you want to be quiet, humorous, formal, or informal? Whatever persona is right for you, aim to convey confidence and ease. Move with certainty and assuredness, and be careful not to seem pompous or intimidating.
  • Show passion and enthusiasm for the topic. If you are not interested in the subject, you cannot expect your students to be interested, either. Point out the fascinating aspects of what they are learning.
  • Do not read your notes or slides. Doing so will lower your energy level and lead your audience to feel less engaged.
  • Interact with and pay attention to your audience. Make eye contact with the students, not with the wall or chalkboard. Build a rapport with the class. Make sure the class is with you (following and understanding what you are discussing). If they appear to be lost, take additional time to explain points and to ask and answer questions.
  • Do not take yourself too seriously. Be able to laugh at yourself and your mistakes. Feel free to bring humor into the classroom, but direct it at yourself, rather than at your students’ questions and ideas.
  • Keep track of the time. Do not start early or end late. The students often do not recall or listen to information presented after the class period is technically finished.

Effective Use of the Chalkboard and Visual-Aids

Using the Chalkboard

  • Write legibly and big enough that your writing can seen in the back of the room.
  • Think about the organization of the material on the board.
  • Fill one board at a time, starting at the top of each board and writing down.
  • Do not scrunch in words at the very bottom of the board or in the margins. The students in the back will not see the words at the bottom, and no one will see the words in the margins.
  • Underline or mark major assumptions, conclusions, etc.
  • Use color to emphasize points.Before the course starts, determine which colors are most visible in the back of the room.
  • Erase a board only when you have run out of room.
  • If you find a mistake on a previous board, do not erase it. Cross it out, then write the correction in, which is what the students must do.

Using Visual Aids, such as PowerPoint Slides

  • Do not use visual aids unless they serve a clear and important purpose. Visuals should aid quick comprehension and support the main points.
  • Book and check out the presentation equipment in advance.
  • Talk to your audience and not to the screen.
  • Use the visuals to enhance your presentation, not as a substitute for a verbal presentation.
  • Use a pointer, if necessary.
  • Coordinate the audio and the visual.
  • Design your visuals with clarity and simplicity in mind.

Effective Design and Meaningful Organization of Content

Visual Design Suggestions

  • Use single words or phrases.
  • Organize the content visually.
  • Choose a font that is easy to see. Choose a font that is simple, plain, and easy to read such as Times New Roman, Ariel, or Helvetica. Select a font size that is large enough to be seen at the back of the room. The minimal acceptable size is typically 24-point. Use both upper- and lower-case letters; all upper-case letters are difficult to read.
  • Keep the design simple. Too many words, graphics, or different colors are distracting and cause students to miss the important points.
  • Use short quotes, not long extracts, from documents.
  • Assign a title for each visual. Doing so will help your audience organize and retain the information on each visual.
  • Use summary lists.
  • Limit the number of ideas on each visual. For example, limit the number of bullets on a page to approximately 4 to 6. Each bullet should be short, approximately one line. Do not crowd the visual with text; it will be too difficult to read.
  • Use color for emphasis and organization. Color is useful, but needs to be used judiciously. The color should be used for emphasis or for distinguishing among data. Think about the color wheel: adjacent colors blend together and colors directly opposite each other are contrasting and provide better readability. Reds and oranges stand out, but are hard to continually focus on; therefore, use these colors only for emphasis. Greens, blues, and browns are easier to continually focus on, but do not grab a person’s attention.
  • Design diagrams and tables that are simple and clear, with readily recognized symbols. Your audience must be able to read all data in your diagrams and tables. Often, this means that you will have to simplify a more complex or detailed table or diagram that has been prepared for a printed format.
  • Use horizontal (landscape) layout, not vertical (portrait). Screens, video monitors, and computer monitors are shaped for a horizontal, not a vertical, format. In addition, a horizontal format is easier to project in rooms with low ceilings.

Content Organization Suggestions

  • Plan the content. Think about the type of students in the class, the goals for the course and the current session, the type of material to be presented in the current session, and the type of media, if any, that you are going to use.
  • Provide a structure. Each class session or presentation should have a beginning, a middle, and an end.
  • List objectives or provide an outline at the beginning of each class session. Providing an outline helps students identify the most important points and follow the lecture or discussion more effectively.
  • Organize course content with a theme or storyline. How do you want to arrange the material? How does each part of the material relate to what comes next.
  • Remember that a typical student’s attention span is 15-20 minutes. Every 15-20 minutes, either change your teaching method or change activities. Use different teaching methods in one session to keep the students’ attention and to reach students who have different learning preferences. (See Teaching with Lectures .)
  • Allow for pauses and “wait-time.” Wait-time is the pause after the instructor either asks a question or asks for questions. Students need time to think of a response to a question, or to think of a question to ask. Do not be afraid of silence. Most instructors wait 1-3 seconds for a response. However, increasing the wait-time to 5-10 seconds dramatically increases the number and quality of responses. (See Asking Questions to Improve Learning .)

LESSON SET OVERVIEW

With this lesson set, your students will:

  • learn dos and don’ts of presenting ,
  • discuss different structures and types of presentations (e.g. elevator pitch);
  • learn and practise signposting language (e.g. to start, elaborate, make a connection, recap, deviate),
  • watch a video about virtual presentations ,
  • consolidate their knowledge by doing a few revision exercises and preparing mini presentations .

These three lessons were designed to introduce  language useful for going through business presentation  and practise using it in controlled scenarios to finally  do presentations on different topics  in the final lesson.

How to nail that presentation

The first lesson in this set includes a video about how to nail a virtual presentation . Apart from the tips, in this lesson students also learn the types of presentations such as an elevator pitch, team briefing, roadmap presentation , etc. and their structures.

Students learn the phrases to start, elaborate, make a connection, recap, deviate , etc. You can revise the vocabulary and the tips from the first lesson by encouraging students to use them in the first discussion question in ex. 1 (slide 3) , as well as in ex. 8 and ex. 11 (slide 45 and slide 51) of this lesson.

BEP 266 – Presenting Numbers in English (Part 1)

Welcome back to Business English Pod for today’s lesson on presenting numbers in English.

In business, numbers are everywhere. Whether you work in sales, marketing, finance, or management, you deal with them all the time. You’ve got data, metrics, projections, and results, all expressed in numbers. We read about numbers, we discuss numbers, and we often have to stand up in front of our colleagues, our clients, or our bosses and present numbers.

Giving a presentation in English about anything can be challenging. Giving a presentation about numbers and data can be especially difficult. You have to describe those numbers, to interpret them, and to connect them to ideas and decisions. In today’s lesson, we’ll begin looking at some techniques for this situation. We’ll learn how to approximate and how to describe change. We’ll also learn how to talk about increases and decreases, as well as how to compare and contrast numbers.

In the dialog, we will hear Toni, who works in marketing for a large grocery chain called Foresters. Toni is giving a presentation about the outcomes of a new promotional campaign targeting the young singles market. We’ll also hear Ellen and William, two executives with Foresters.
